PMP application is basically divided into 3 parts – Personal Details, Project Management Experiences and Project Management Education. Most of us face problem in how to fill the number of hours in the work experience details in the five processing groups – Initiating the Project, Planning the Project, Executing the Project, Controlling and Monitoring the Project, and Closing the Project. This article explains all information required to fill PMP application including the number of hours in the work experience in detail.
Personal Details
Personal details of the applicant needs to be mentioned as below:
1. Name for correspondence from PMI
2. Contact Information (Home)
3. Contact Information (Work)
4. Name as it should appear on the application
5. Attained Education – Only the highest level of education attained needs to be mentioned.
Project Management Experiences
1. Project Overview
a. Project Duration: We have to fill the start date and end date of the project.
b. Project Role: Our role in the project.
c. Primary Industry: We have to mention the industry in which we worked.
2. Organization Details
We have to mention details like organization name, address, reference contact, relationship with the applicant and his/her Email ID and Phone number [In case the application is selected for audit, Email ID or Phone number will be used to contact the reference].
3. Project Details
We have to fill the following information:
a. Number of hours of work experience we spent in the five process groups:
i. Initiating the Project
ii. Planning the Project
iii. Executing the Project
iv. Controlling and Monitoring the Project
v. Closing the Project
If you have 4 years of graduation degree, then you to show that you have worked for atleast 4500 hours during all projects and those all projects took place (non-overlapping experience ) for 3 years. If you don’t have 4 years of graduation degree, then you to show that you have worked for atleast 7500 hours during all projects and those all projects took place (non-overlapping experience ) for 5 years. Non-overlapping means if Project A and Project B started at the same time and Project A got completed in 1 year and Project B got completed in 1 year and 2 months then we can either show 1 year of Project A and last 2 months of Project B or 1 year and 2 months of Project B only.
b. Project Role – Your role in the project
c. Project Description – Mention atleast five to six main points which you have done in the project.
Number of hours in five process groups
Although all projects are different and the time we spend in each phase varies with complexity of the project. Therefore, in different projects with the same project duration, the time spend in each process group will vary. However, as a matter of guidance, below formula depicts generally how much time one spends in different process groups during the execution of the project.
Project Duration – y hours
i. Initiating the Project : (0.12 * y) hours
ii. Planning the Project : (0.23 * y) hours
iii. Executing the Project : (0.44 * y) hours
iv. Controlling and Monitoring the Project : (0.14 * y) hours
v. Closing the Project : (0.07 * y) hours
Example:
Project Duration – 1000 hours
i. Initiating the Project : (0.12 * y) hours = (0.12 * 1000) hours = 120 hours
ii. Planning the Project : (0.23 * y) hours = (0.23 * 1000) hours = 230 hours
iii. Executing the Project : (0.44 * y) hours = (0.44 * 1000) hours = 440 hours
iv. Controlling and Monitoring the Project : (0.14 * y) hours = (0.14 * 1000) hours = 140 hours
v. Closing the Project : (0.07 * y) hours = (0.07 * 1000) hours = 70 hours
